DONATION POLICY
Hoover Essential Lifeskills Opportunities, Inc. (HELO)
Effective Date: October 12, 2026
1. Purpose and Scope
Hoover Essential Lifeskills Opportunities, Inc. (HELO) is a Tennessee nonprofit corporation dedicated to supporting foster youth and other young adults facing barriers to independence through life-skills education, educational stability, and transitional support.
This Donation Policy explains HELO's general practices regarding charitable contributions, donor communications, donation processing, acknowledgments, refunds, and the responsible use of donated funds.
HELO values the generosity and trust of its donors and is committed to transparency, accountability, and responsible stewardship of contributions received in support of its charitable mission.
This policy applies to monetary and nonmonetary contributions made directly to HELO, including donations received through its website, fundraising campaigns, events, and other authorized channels. Event ticket purchases, auction transactions, sponsorship arrangements, and other payments involving goods or services may be subject to additional terms and are not automatically treated as charitable contributions.
HELO will administer donations in accordance with applicable law, donor restrictions it has accepted, and its organizational policies.
2. Tax-Exempt Status and Tax-Deductibility
Hoover Essential Lifeskills Opportunities, Inc. (HELO) is a nonprofit corporation organized under the laws of the State of Tennessee.
HELO is in the process of seeking recognition of federal tax-exempt status under Section 501(c)(3) of the Internal Revenue Code. As of the effective date of this policy, HELO has not received an IRS determination letter recognizing its tax-exempt status.
Pending Federal Tax-Exempt Recognition
HELO's incorporation as a Tennessee nonprofit corporation does not, by itself, establish federal tax-exempt status or guarantee that contributions are deductible for federal income tax purposes.
HELO intends to seek recognition as a charitable organization under Section 501(c)(3). Approval is subject to review and determination by the Internal Revenue Service.
Tax-Deductibility of Contributions
Until HELO receives an IRS determination of its federal tax-exempt status, donors should not assume that contributions to HELO are tax-deductible.
If the IRS grants recognition with an effective date that covers a donor's contribution, that contribution may qualify for a charitable deduction, subject to applicable federal tax laws and the donor's individual circumstances.
HELO cannot guarantee IRS approval, retroactive recognition, or the tax treatment of any particular contribution.
Donation Acknowledgments
HELO may provide written acknowledgments or receipts documenting contributions received, including the date, amount of a monetary contribution, or a description of donated property.
Such acknowledgments will accurately reflect HELO's tax-exempt status at the time they are issued and will not represent that a contribution is tax-deductible unless there is an appropriate legal basis for doing so.
Donors are responsible for retaining relevant documentation and satisfying applicable tax reporting and substantiation requirements.
Professional Tax Guidance
HELO does not provide individualized tax or legal advice.
Donors are encouraged to consult a qualified tax professional regarding the deductibility of their contributions and any applicable federal or state tax requirements.
HELO will update its public disclosures as appropriate if its federal tax-exempt status changes.

HELO may also accept donated legal services, accounting, bookkeeping, marketing, public relations, photography, videography, grant writing assistance, event coordination, administrative support, and other professional services.
Individuals providing services requiring professional licensing, certification, specialized training, background screening, or other qualifications must satisfy applicable legal requirements and HELO's relevant policies before providing those services.
HELO reserves the right to evaluate, approve, decline, or discontinue donated services based on organizational needs, professional qualifications, participant safety, available resources, and applicable laws.
Volunteer and pro bono arrangements may be subject to separate agreements, confidentiality requirements, background checks, supervision, insurance considerations, and organizational procedures.

HELO may accept donated technology, equipment, and digital resources that support educational instruction, organizational operations, or eligible participant needs.
Examples include computers, laptops, tablets, printers, monitors, audiovisual equipment, software licenses, internet service, Wi-Fi hotspots, technology subscriptions, technical assistance, and temporary or recurring access to technology resources.
Technology contributions may be subject to compatibility, cybersecurity, licensing, condition, privacy, maintenance, and operational requirements.
HELO may decline equipment or services that do not meet its needs or present unreasonable security, financial, or administrative risks.
Gift Cards, Prepaid Cards, and Participant Assistance
HELO may accept grocery gift cards, retail gift cards, gas cards, transportation cards, meal cards, and other prepaid resources that support approved organizational activities or eligible participant needs.
These resources may assist with educational participation, transportation, food, clothing, household essentials, employment preparation, and other needs consistent with HELO's mission.
Gift cards and similar items will be subject to appropriate internal controls, including documentation, secure handling, authorization, and distribution procedures designed to promote accountability and prevent misuse.
HELO reserves the right to determine how unrestricted contributions are allocated and distributed in accordance with its charitable purposes, participant eligibility requirements, and applicable organizational policies.
Food, Meals, and Nutritional Support
HELO may accept donations of groceries, nonperishable food, cooking ingredients, prepared meals, catered food, refreshments, meal vouchers, and other food-related resources.
Such contributions may support cooking instruction, educational workshops, participant assistance, community gatherings, volunteer activities, and fundraising events.
Acceptance and distribution of food contributions are subject to applicable food safety requirements, storage capabilities, dietary considerations when appropriate, and organizational needs.
Transportation and Vehicle-Related Support
HELO may accept transportation-related contributions that help participants access educational programs, employment opportunities, training, and other approved activities.
Examples include gas cards, public transportation passes, rideshare credits, transportation vouchers, driver education, vehicle maintenance services, automotive supplies, and donated vehicles.
Vehicle donations and transportation services may require additional review of ownership, title, insurance, safety, licensing, liability, and other applicable legal requirements before acceptance or use.
Educational, Employment, and Independent Living Opportunities
HELO may accept educational resources, training opportunities, and other forms of assistance that promote participant development and long-term independence.
Examples include textbooks, school supplies, vocational training, certification opportunities, testing fees, career coaching, job-shadowing experiences, internships, professional clothing, housing-related resources, and household starter supplies.
HELO may collaborate with qualified businesses, educational institutions, and community partners to provide access to educational experiences, career exploration, professional networks, and other opportunities consistent with its mission.
Acceptance of these opportunities is subject to participant eligibility, organizational oversight, applicable laws, and any necessary agreements.
Corporate Contributions and Sponsorships
HELO may accept financial contributions, donated goods or services, professional expertise, facility use, and event sponsorships from businesses and other organizations.
Sponsorship arrangements involving advertising, promotional benefits, event recognition, or other exchanges may be governed by separate written agreements.
Sponsorship payments are not automatically treated as fully tax-deductible charitable contributions.
Fundraising Events and Campaigns
HELO may receive contributions through fundraising events, community campaigns, supply drives, benefit activities, and other authorized fundraising initiatives.
Contributions may include monetary donations, donated merchandise, auction items, gift baskets, event supplies, decorations, entertainment, photography, catering, equipment rentals, advertising, and other event-related goods or services.
Payments for event admission, merchandise, auction purchases, or other goods and services may be treated differently from charitable donations for tax purposes.
HELO will seek to provide appropriate information regarding the nature of transactions and any benefits received in exchange for payment.
Restricted and Designated Donations
Donors may express a preference that their contributions support a particular HELO program, initiative, event, participant assistance category, or organizational need.
HELO will review proposed restrictions before accepting them and may decline contributions with conditions that are inconsistent with its mission, operational needs, legal obligations, or available resources.
When HELO expressly accepts a legally enforceable donor restriction, the contribution will be administered in accordance with that restriction and applicable law.
A donor's stated preference does not automatically establish a binding restriction unless HELO has agreed to accept it.
Other Forms of Contributions
HELO may consider other forms of support, including securities, planned gifts, real property, or other nontraditional contributions, on a case-by-case basis.
Acceptance may require additional documentation, professional review, evaluation of financial or legal obligations, and approval under applicable organizational policies.
HELO is not obligated to accept every contribution offered.
Tax Treatment of Donated Goods, Services, and Resources
The value of donated professional services, volunteer labor, and rent-free use of property generally is not deductible as a charitable contribution for federal income tax purposes.
Certain unreimbursed expenses incurred while providing qualifying volunteer services may be deductible when applicable legal requirements are satisfied.
The potential deductibility of donated goods, financial contributions, and other resources depends on applicable tax laws, the nature of the contribution, and HELO's federal tax-exempt recognition status.
HELO does not guarantee the tax deductibility of any contribution. Donors are encouraged to consult qualified tax professionals regarding applicable tax treatment.
Right to Decline or Return Contributions
HELO reserves the right to decline or return contributions when legally permissible, including donations that present legal, ethical, financial, reputational, safety, operational, or administrative concerns.
HELO will make acceptance decisions in accordance with its charitable mission, applicable law, accepted donor restrictions, and relevant organizational policies.
4. Donation Processing and payment Security
Hoover Essential Lifeskills Opportunities, Inc. (HELO) is committed to handling charitable contributions responsibly, maintaining accurate financial records, and protecting donor information in accordance with applicable laws and organizational policies.
Authorized Donation Methods
HELO may accept financial contributions through authorized channels, including its official website, approved third-party donation platforms, checks, electronic transfers, fundraising events, and other payment methods established by the organization.
Donors should verify that they are using an official HELO donation channel before submitting payment information or transferring funds.
HELO is not responsible for payments knowingly directed to unauthorized third parties, except to the extent responsibility arises under applicable law or from HELO's own conduct.
Third-Party Payment Processing
HELO may utilize independent payment processing providers to facilitate donations, recurring contributions, event transactions, and other authorized payments.
These providers may collect and process payment information under their own terms, privacy policies, and security practices.
HELO does not control every aspect of third-party payment systems but will seek to use reputable providers appropriate for its organizational needs.
Donors are encouraged to review applicable payment processing terms and privacy notices before completing transactions.
Payment Security and Financial Information
HELO recognizes the importance of protecting financial information submitted by donors.
Where online payments are offered, payment information may be transmitted and processed through third-party payment services using their respective security technologies and procedures.
HELO will seek to implement reasonable safeguards appropriate to the financial and personal information it receives or maintains.
No electronic payment system or internet-based transaction can be guaranteed to be completely secure.
Donors should avoid transmitting credit card numbers, banking credentials, or other sensitive financial information through ordinary email or general website contact forms.
Recurring Donations
HELO may offer recurring donation options through approved payment platforms.
Where recurring donations are available, donors should be informed of the contribution amount, frequency, and applicable cancellation procedures before authorizing recurring payments.
Donors may request cancellation of recurring contributions in accordance with the applicable payment provider's procedures and relevant law.
Cancellation generally applies to future scheduled payments and does not automatically reverse previously completed transactions.
Payment Processing Fees
Certain payment methods or third-party donation platforms may charge transaction or processing fees.
When applicable, these fees may be deducted from contributions received by HELO or separately presented to donors, depending on the payment arrangement and provider.
HELO will seek to communicate donor-facing fees accurately and in accordance with applicable law.
Donation Records and Financial Accountability
HELO will maintain appropriate records of contributions received, including relevant transaction details, donation dates, amounts, donor restrictions accepted by HELO, and other information necessary for financial administration and legal compliance.
Access to financial records and donor information will be limited as appropriate under HELO's organizational procedures and applicable law.
Donations will be administered in accordance with HELO's charitable purposes, accepted donor restrictions, and applicable financial reporting requirements.
Suspected Unauthorized or Fraudulent Transactions
Donors who believe a donation was processed incorrectly, charged without authorization, or affected by suspected fraud are encouraged to contact HELO promptly at office@helolifeskills.org.
Donors may also contact their financial institution or payment provider regarding unauthorized transactions or payment disputes.
HELO will review reported concerns and take appropriate action consistent with applicable law and the procedures of the relevant payment provider.
Nothing in this section limits a donor's rights to dispute unauthorized transactions or exercise other protections available under applicable law.
5. Donation Refunds, Errors, and Cancellations
Hoover Essential Lifeskills Opportunities, Inc. (HELO) values the generosity and trust of its donors and is committed to handling donation-related questions, errors, and refund requests fairly, responsibly, and in accordance with applicable laws.
General Donation Refund Policy
Charitable contributions voluntarily made to HELO are generally considered final and nonrefundable once successfully processed and accepted by the organization.
HELO may, however, review refund requests on a case-by-case basis when circumstances reasonably warrant consideration or when a refund is required by applicable law.
A request for a refund does not automatically guarantee approval.
Accidental, Duplicate, or Incorrect Donations
Donors who believe they submitted a contribution in error, were charged more than intended, or experienced a duplicate transaction are encouraged to notify HELO promptly.
HELO will review available transaction records and may request reasonable documentation to verify the circumstances.
When appropriate, HELO may authorize a refund or correction, subject to applicable laws, payment processor requirements, and organizational procedures.
Unauthorized or Fraudulent Transactions
Individuals who believe a contribution was made without their authorization or involved fraudulent activity should promptly contact HELO and their financial institution or payment provider.
HELO will review reported concerns and cooperate with applicable payment processing procedures and legal requirements.
Nothing in this policy limits a person's rights to dispute unauthorized charges, request legally required refunds, or pursue remedies available under applicable law.
Recurring Donation Cancellations
Donors who establish recurring contributions may request cancellation of future scheduled donations through the applicable payment platform or by contacting HELO for assistance.
HELO will make reasonable efforts to assist with cancellation requests for recurring donations it is authorized and able to manage.
Cancellation generally applies to future contributions and does not automatically reverse payments already processed.
Processing times and cancellation procedures may vary depending on the payment provider.
Refunds Involving Restricted Donations
Contributions accepted by HELO for a specific charitable purpose may be subject to donor restrictions and applicable legal requirements.
Requests to refund, redirect, or modify restricted contributions will be evaluated in accordance with the terms of the accepted restriction and applicable law.
HELO will not disregard legally enforceable donor restrictions solely because a refund or change in use has been requested.
Event Tickets, Auctions, Sponsorships, and Purchases
Payments for fundraising event tickets, auction purchases, sponsorship packages, merchandise, or other transactions involving goods or services may be governed by separate event-specific terms, agreements, or refund policies.
Unless expressly stated otherwise, this section addresses charitable donations and does not automatically establish the refund rules for those separate transactions.
Any applicable refund or cancellation terms for paid events or purchases should be disclosed before payment, as required by law.
Submitting a Refund Request
Individuals seeking a donation refund or correction may submit a written request to:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)
Email: office@helolifeskills.org
Requests should include the donor's name, approximate donation date, contribution amount, payment method, and a brief explanation of the concern.
Donors should not include complete credit card numbers, banking passwords, or other sensitive financial credentials in ordinary email communications.
HELO may request additional information reasonably necessary to verify and process the request.
Review and Resolution
HELO will review refund requests in good faith and determine an appropriate response based on the circumstances, available documentation, applicable payment processing requirements, organizational policies, and relevant laws.
Approved refunds will generally be processed through the original payment method when feasible.
HELO reserves the right to deny discretionary refund requests when legally permissible, while honoring refunds or corrections required by law.
Nothing in this section limits rights or remedies that cannot lawfully be waived.
6. Donation Designations, Restrictions, and Use of Funds
Hoover Essential Lifeskills Opportunities, Inc. (HELO) is committed to the responsible stewardship of all contributions, donated resources, services, and opportunities entrusted to the organization. HELO will administer these contributions in furtherance of its charitable mission and in accordance with applicable laws, its governing documents, organizational policies, written agreements, and any legally enforceable donor restrictions it has accepted.
Unrestricted Donations
Unless a contribution is subject to a donor restriction expressly accepted by HELO or another legally binding limitation, donations will generally be treated as unrestricted.
Unrestricted contributions may support HELO's charitable programs and reasonable organizational needs, including LifeSkills education, participant assistance, classroom supplies, technology, transportation, facilities, equipment, administrative operations, insurance, fundraising activities, and other expenses that advance its mission.
HELO's Board of Directors and authorized leadership will oversee the allocation and use of unrestricted funds in accordance with their respective responsibilities and applicable law.
Organizational Discretion in the Use of Donated Resources
HELO retains the authority, through its Board of Directors and authorized leadership, to determine how unrestricted monetary donations, donated goods, equipment, technology, gift cards, supplies, and other resources are allocated and utilized in furtherance of its charitable mission.
HELO may prioritize, distribute, reallocate, or reserve unrestricted contributions based on program needs, participant needs, organizational priorities, available resources, and operational requirements.
Donated professional expertise, instructional services, volunteer assistance, and the use of donated venues or facilities may be coordinated and scheduled according to HELO's organizational needs, subject to the availability and agreement of the individuals or entities providing those contributions.
All decisions regarding donated resources will be made in accordance with HELO's governing documents, applicable laws, accepted donor restrictions, written agreements, and organizational policies.
Donor-Designated Contributions
Donors may express a preference that their contributions support a particular HELO program, project, event, or charitable purpose.
Examples include LifeSkills education, participant starter kits, classroom supplies, transportation assistance, technology resources, educational opportunities, wellness activities, and other approved initiatives.
HELO will review donor designations to determine whether the requested purpose is consistent with its mission, current activities, and ability to administer the contribution appropriately.
A donor's stated preference does not automatically create a legally binding restriction. Whether a contribution is restricted depends on the terms of the gift, HELO's acceptance, and applicable law.
Restricted Donations
HELO may accept contributions restricted to specific charitable purposes when those restrictions are consistent with its mission, lawful activities, available resources, and organizational capacity.
Once HELO accepts a legally enforceable donor restriction, the organization will administer the contribution in accordance with that restriction and applicable law.
Restricted contributions will be appropriately documented and tracked to support financial accountability and compliance.
HELO reserves the right to decline contributions containing conditions that are unlawful, impractical, excessively burdensome, inconsistent with its mission, or otherwise unsuitable for acceptance.
Changes to Restricted Purposes
Circumstances may arise in which a restricted program, project, or charitable purpose becomes impracticable, unavailable, or impossible to carry out as originally anticipated.
HELO will not automatically redirect legally restricted contributions to unrelated purposes.
When modification becomes necessary, HELO will seek appropriate donor consent or follow applicable legal procedures governing the modification or release of charitable restrictions.
Any modification will be undertaken in accordance with applicable Tennessee law and the terms of the original contribution.
Program Changes and Unused Funds
HELO's programs, activities, and organizational needs may evolve as the organization grows.
Unrestricted donations may be allocated or reallocated among lawful charitable and organizational purposes as determined by HELO's authorized leadership and Board of Directors.
Funds subject to legally enforceable donor restrictions will continue to be governed by those restrictions unless properly modified or released.
HELO does not guarantee that any particular program, event, activity, or initiative will continue indefinitely.
Donated Experiences, Educational Trips, and Wellness Activities
HELO may accept and utilize donated travel opportunities, retreats, recreational experiences, cultural activities, educational excursions, and wellness-related experiences when such activities further its charitable mission and approved program objectives.
These opportunities may support participants' personal development, stress management, emotional wellness education, social skills, confidence, independent living skills, and exposure to educational or career experiences.
HELO retains discretion to determine whether, when, and how donated opportunities are incorporated into its programs, subject to accepted donor restrictions, applicable agreements, organizational policies, safety requirements, and applicable law.
Participation will be determined through HELO's established program procedures. Any related transportation, lodging, meals, supervision, or other expenses must be authorized and reasonably connected to the charitable activity.
Participation of Board Members, Officers, Staff, and Volunteers
HELO may authorize Board members, officers, staff, and volunteers to accompany or participate in donated educational trips, retreats, wellness activities, and other program-related experiences when their participation serves a legitimate organizational purpose.
Such participation may include instruction, mentorship, supervision, participant support, program coordination, or other authorized responsibilities.
HELO may cover or accept donated reasonable and necessary participation expenses when appropriate, subject to available resources, donor agreements, applicable law, conflict-of-interest procedures, and organizational approval.
Any significant benefit involving a Board member, officer, or other organizational insider must be evaluated under HELO's conflict-of-interest procedures, with approval by disinterested decision-makers where appropriate.
Participation shall not be authorized primarily to provide personal vacations, recreation, or other improper private benefits to organizational insiders.
Donations Intended for Individual Participants
HELO may accept contributions intended to support eligible participants through approved charitable assistance programs.
To preserve appropriate charitable oversight, HELO retains responsibility for determining participant eligibility, evaluating needs, approving assistance, and distributing resources in accordance with its mission, written procedures, and applicable law.
HELO generally will not accept contributions requiring the organization to transfer funds or property to a specifically named individual without independent charitable discretion and appropriate legal review.
Donors may support a charitable program or category of assistance, but contributions do not entitle donors to select beneficiaries or control individual assistance decisions.
Financial Accountability and Oversight
HELO will maintain appropriate financial records documenting contributions received, restrictions accepted, and the use of donated funds and resources.
The Board of Directors and authorized organizational leadership will exercise financial oversight consistent with HELO's governing documents, internal controls, and applicable legal requirements.
HELO will seek to use donated resources efficiently and responsibly while recognizing that reasonable administrative, operational, and fundraising expenses are necessary to carry out its charitable mission.
No contribution or donated opportunity may be used to provide an improper private benefit or for purposes inconsistent with applicable law.
Questions Regarding Donation Designations
Donors who wish to support a specific program, activity, or charitable purpose are encouraged to contact HELO before making a restricted contribution to confirm whether the proposed designation can be accepted.
Questions may be directed to:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)
Email: office@helolifeskills.org
HELO will review inquiries and provide clarification regarding available donation options and applicable restrictions.
7. Donation Acknowledgments, Receipts, and Donor Records
Hoover Essential Lifeskills Opportunities, Inc. (HELO) is committed to maintaining accurate donation records, acknowledging the generosity of its supporters, and providing clear and truthful information regarding contributions received by the organization.
HELO will issue donation acknowledgments and maintain donor records in accordance with applicable laws, organizational policies, and its current federal tax-exempt status.
Donation Acknowledgments
HELO may provide written or electronic acknowledgments for monetary contributions, donated goods, equipment, supplies, services, and other accepted contributions.
Acknowledgments may include the donor's name, date of contribution, description or amount of the donation, and other information appropriate to the type of contribution.
Acknowledgments are intended to confirm receipt of a contribution and do not, by themselves, establish that the donation is tax-deductible.
Federal Tax-Exempt Status and Tax-Deductibility
HELO is a nonprofit corporation organized under the laws of the State of Tennessee and is currently preparing its application for recognition of federal tax-exempt status under Section 501(c)(3) of the Internal Revenue Code.
As of the effective date of this policy, HELO has not submitted IRS Form 1023 or received an IRS determination letter recognizing its federal tax-exempt status.
Accordingly, HELO does not represent or guarantee that contributions are currently deductible for federal income tax purposes.
If HELO subsequently receives federal tax-exempt recognition, the effective date of that recognition and applicable IRS requirements will determine whether contributions made before approval may qualify for tax-deductible treatment.
Donors are encouraged to consult a qualified tax professional regarding their individual circumstances.
Monetary Donation Receipts
When appropriate, HELO may issue receipts for monetary contributions identifying the amount received, the date of the contribution, and the organization receiving the funds.
Where required by applicable tax law, acknowledgments will also address whether HELO provided goods or services in exchange for the contribution.
HELO will not describe a payment as fully tax-deductible when such treatment has not been established.
In-Kind Donation Acknowledgments
HELO may acknowledge donations of tangible goods and property, including technology, furniture, educational materials, supplies, vehicles, equipment, and other accepted items.
Acknowledgments may describe the donated property and the date received.
HELO generally will not assign a monetary value to donated property on behalf of the donor.
Donors are responsible for determining the value of noncash contributions and obtaining any required appraisals, tax forms, or professional advice.
HELO may provide additional documentation when required by applicable law and appropriate to the contribution.
Donated Professional Services, Volunteer Time, and Facilities
HELO recognizes and appreciates contributions of professional expertise, instruction, mentorship, volunteer assistance, transportation support, and the use of donated venues or facilities.
HELO may acknowledge these contributions through written appreciation, volunteer service records, or other appropriate documentation.
The value of donated personal services, volunteer labor, or the free use of property generally is not deductible as a charitable contribution under federal income tax rules.
Certain qualifying unreimbursed expenses incurred while performing volunteer services may be eligible for different tax treatment when applicable legal requirements are satisfied, including any requirements concerning HELO's tax-exempt status.
HELO does not guarantee the deductibility of donated services, facilities, or related expenses.
Donations Involving Goods, Services, or Benefits
Certain contributions may involve fundraising event admission, sponsorship benefits, merchandise, meals, entertainment, or other goods and services provided to a donor.
When applicable, HELO will distinguish between the payment received and the fair market value of goods or services provided in return, consistent with relevant legal requirements.
The full amount of such a payment should not automatically be treated as a charitable contribution.
Any tax-related disclosure will reflect HELO's federal recognition status and applicable law.
Donor Records and Confidentiality
HELO will maintain appropriate records of donations received, including relevant contribution details, accepted restrictions, acknowledgment information, and financial documentation.
Donor information will be handled in accordance with HELO's Privacy Policy, applicable laws, and organizational recordkeeping procedures.
Access to donor records will be limited as appropriate to individuals authorized to perform legitimate organizational responsibilities.
HELO may disclose donor information when required by law, necessary for authorized payment processing or organizational administration, or otherwise permitted under its Privacy Policy and applicable law.
Record Retention and Corrections
Donation records will be maintained in accordance with HELO's applicable document retention policies and legal obligations.
Donors who identify an error in an acknowledgment or receipt may contact HELO to request review and correction.
HELO may request reasonable verification before modifying financial records or issuing replacement documentation.
Requests for Donation Documentation
Donors may request copies of available donation acknowledgments or clarification regarding contributions by contacting:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)
Email: office@helolifeskills.org
HELO will make reasonable efforts to respond to documentation requests and provide accurate information based on its available records.
Nothing in this section constitutes individualized tax or legal advice or guarantees any particular tax treatment for a contribution.
8. Donor Privacy and Confidentiality
Hoover Essential Lifeskills Opportunities, Inc. (HELO) values the trust and generosity of its donors and is committed to respecting their privacy, safeguarding personal information, and maintaining appropriate confidentiality regarding charitable contributions.
HELO will collect, use, maintain, and disclose donor information in accordance with applicable laws, its Privacy Policy, and relevant organizational procedures.
Collection of Donor Information
HELO may collect personal information reasonably necessary to process contributions, maintain financial records, issue donation acknowledgments, administer fundraising activities, and communicate with donors.
This information may include a donor's name, mailing address, email address, telephone number, donation amount, contribution history, payment transaction details, and any donation preferences or restrictions.
HELO will seek to limit the collection of personal information to what is reasonably necessary for legitimate organizational purposes.
Use of Donor Information
HELO may use donor information to acknowledge contributions, maintain financial accountability, respond to inquiries, administer donor relationships, provide organizational updates, and communicate information about fundraising activities, programs, events, and opportunities to support its mission.
HELO will use donor information only for lawful purposes consistent with its Privacy Policy and applicable requirements.
Donor Confidentiality
HELO will seek to maintain the confidentiality of nonpublic donor information and limit access to individuals who have a legitimate organizational need to use that information.
Authorized Board members, officers, staff, volunteers, and service providers may receive access to relevant donor information when reasonably necessary to perform approved responsibilities.
Individuals with access to confidential donor information are expected to handle it responsibly and in accordance with applicable organizational policies.
Sharing of Donor Information
HELO does not intend to sell or rent donor contact information to third parties for their independent marketing purposes.
HELO may share donor information with authorized service providers, including payment processors, website service providers, accounting professionals, and other organizations assisting with legitimate administrative or fundraising functions.
Information may also be disclosed when required by law, necessary to protect legal rights, or otherwise permitted under HELO's Privacy Policy and applicable law.
HELO will seek to limit such disclosures to information reasonably necessary for the intended purpose.
Anonymous Donations and Donor Recognition
HELO may offer donors the opportunity to request that their names not be publicly disclosed in connection with their contributions.
When a donor requests anonymity, HELO will make reasonable efforts to honor that preference in public acknowledgments, recognition materials, website content, and fundraising communications.
Anonymous public recognition does not necessarily mean that a contribution can be accepted without collecting identifying information required for payment processing, financial accountability, legal compliance, or organizational records.
HELO may recognize donors publicly through its website, social media, printed materials, fundraising events, or other communications when appropriate and consistent with donor preferences and applicable law.
Donors who do not wish to receive public recognition are encouraged to communicate that preference to HELO.
Donor Communications and Preferences
HELO may contact donors regarding contribution acknowledgments, organizational news, program updates, fundraising opportunities, and upcoming events.
Donors may request to discontinue optional fundraising or promotional communications by using an available unsubscribe method or contacting HELO directly.
HELO will make reasonable efforts to honor such requests in accordance with applicable law.
Certain administrative communications, including transaction confirmations, donation records, and legally required notices, may still be necessary.
Payment Information and Third-Party Services
Online contributions may be processed through independent third-party payment providers that maintain their own privacy and security practices.
HELO will seek to use appropriate safeguards for personal and financial information within its possession or control.
Donors should review the applicable privacy notices and payment terms of third-party providers before submitting sensitive financial information.
No method of electronic storage or transmission can be guaranteed to be completely secure.
Donor Information and Participant Privacy
HELO is committed to respecting the privacy and dignity of the young adults participating in its programs.
Making a donation does not entitle a donor to access confidential participant records, personal histories, financial circumstances, health information, or other nonpublic information about program participants.
HELO may share general program information, organizational outcomes, and authorized participant stories or images when appropriate and consistent with applicable privacy requirements and permissions.
Donor Access and Correction Requests
Donors may contact HELO to request corrections to their contact information, update communication preferences, or inquire about personal information maintained by the organization.
HELO will review requests and respond in accordance with applicable laws, recordkeeping requirements, and its Privacy Policy.
Certain records may need to be retained for financial, legal, or administrative purposes even when a donor requests deletion.

HELO may recognize sponsors through its website, social media, event materials, printed publications, signage, announcements, and other approved communications.
Recognition may include a sponsor's name, logo, business description, and acknowledgment of its support.
Certain sponsorship arrangements may also include event admission, exhibit space, promotional opportunities, advertising, or other agreed-upon benefits.
The nature and value of any benefits provided may affect the tax treatment of sponsorship payments.
HELO does not guarantee that sponsorship payments qualify as charitable contributions or are deductible for federal income tax purposes.
Matching Gift Programs
HELO may participate in employer-sponsored matching gift programs or other arrangements through which an employer or organization contributes additional funds based on an eligible individual's donation.
Matching contributions are subject to the requirements, eligibility criteria, verification procedures, and approval of the participating employer or matching gift provider.
Because HELO has not yet received recognition of federal tax-exempt status under Section 501(c)(3), some matching gift programs may not currently consider HELO eligible.
HELO will not represent that it meets an employer's matching gift requirements unless its eligibility has been established.
Fundraising Partnerships and Community Campaigns
HELO may collaborate with businesses, community groups, schools, churches, professional associations, and other organizations to conduct fundraising campaigns, donation drives, benefit events, educational activities, and community outreach initiatives.
These partnerships may involve financial contributions, donated products, volunteer assistance, promotional support, shared event resources, or other approved activities.
HELO retains authority over its name, branding, charitable programs, fundraising representations, and the acceptance and use of contributions received on its behalf.
Outside organizations and individuals may not represent themselves as authorized fundraising agents of HELO without appropriate permission.
Third-Party Fundraising Activities
Individuals, businesses, or organizations wishing to conduct fundraising activities benefiting HELO are encouraged to obtain written authorization before using HELO's name, logo, or organizational identity in promotional materials.
HELO may establish reasonable requirements concerning fundraising descriptions, collection procedures, financial reporting, use of its branding, and the transfer of proceeds.
Third-party fundraisers are responsible for complying with applicable laws and any agreements governing their activities.
HELO may decline, discontinue, or withdraw authorization for fundraising activities that are inconsistent with its mission, policies, or legal obligations, subject to applicable agreements and law.
Donated Professional Services, Facilities, and Business Resources
HELO may accept donated professional expertise, instructional services, mentorship, business consulting, technology support, marketing assistance, transportation resources, event facilities, office space, educational venues, and other business-related contributions.
The use of donated facilities, services, or resources will be coordinated according to HELO's organizational needs and any applicable donor agreements.
HELO does not guarantee the tax deductibility of donated professional services, volunteer time, or the free use of facilities.
Organizational Independence and Decision-Making
Acceptance of a sponsorship, matching gift, or fundraising partnership does not grant the contributor authority over HELO's governance, participant selection, program administration, staffing, financial decisions, or organizational policies.
HELO retains responsibility for determining how unrestricted contributions and donated resources are used in furtherance of its charitable mission.
Any legally enforceable donor restrictions or contractual obligations accepted by HELO will be honored in accordance with applicable law.
HELO will not accept arrangements that improperly compromise its independence or create prohibited private benefits.
Conflicts of Interest and Related-Party Arrangements
Sponsorships and partnerships involving HELO's Board members, officers, their family members, or businesses in which they have a financial interest will be evaluated under applicable conflict-of-interest procedures.
Interested individuals must disclose relevant conflicts and refrain from participating in decisions when required by HELO's governing documents, organizational policies, or applicable law.
HELO will seek to ensure that related-party transactions are reasonable, properly documented, and consistent with its charitable purposes.
Tax-Exempt Status and Sponsorship Representations
HELO is a Tennessee nonprofit corporation currently preparing its application for federal tax-exempt recognition under Section 501(c)(3) of the Internal Revenue Code.
As of the effective date of this policy, HELO has not submitted IRS Form 1023 or received an IRS determination letter.
HELO will not represent that sponsorships, matching gifts, or fundraising contributions are currently tax-deductible based on federal tax-exempt recognition that has not yet been granted.
Any future tax treatment will depend on applicable law, the terms of the contribution, the benefits received, and any IRS determination issued to HELO.

10. Fundraising Events, Ticket Sales, Auctions, and Merchandise
Hoover Essential Lifeskills Opportunities, Inc. (HELO) may organize, host, sponsor, or participate in fundraising events, community gatherings, educational activities, benefit celebrations, auctions, merchandise sales, and other lawful fundraising initiatives to support its charitable mission.
These activities may generate financial contributions, community engagement, sponsorship opportunities, and other resources that support HELO's programs, participants, and organizational operations.
All fundraising activities will be conducted in accordance with applicable laws, organizational policies, and any event-specific terms or agreements.
Fundraising Events and Community Activities
HELO may conduct fundraising events, including holiday celebrations, spring gatherings, educational workshops, community festivals, benefit dinners, social gatherings, and other approved activities.
Events may be supported through ticket sales, sponsorships, donations, donated goods and services, vendor participation, or other authorized fundraising methods.
HELO retains discretion to determine event programming, admission requirements, ticket prices, schedules, venues, activities, and the allocation of unrestricted event proceeds.
Ticket Sales and Event Registration
HELO may charge admission or registration fees for certain fundraising events, educational activities, and community gatherings.
Ticket purchases may provide admission, meals, refreshments, entertainment, activities, or other specified benefits.
Unless expressly identified as a separate charitable contribution, payment for an event ticket should not automatically be considered a tax-deductible donation.
Applicable ticket prices, included benefits, payment requirements, and material event conditions will be communicated through the relevant registration or purchase process.
Event Cancellations, Changes, and Refunds
HELO reserves the right to modify, postpone, relocate, reschedule, or cancel an event when reasonably necessary due to circumstances including weather, safety concerns, venue availability, insufficient participation, operational requirements, or other unforeseen conditions.
Refund eligibility for event tickets, registrations, and related purchases will be governed by the terms disclosed for the specific event and applicable law.
HELO will communicate material event changes and applicable refund or transfer options through reasonable available channels.
Nothing in this policy eliminates refund rights or other consumer protections required by law.
Fundraising Auctions and Donated Items
HELO may conduct silent auctions, live auctions, online auctions, or other lawful fundraising sales involving donated merchandise, gift baskets, services, experiences, travel opportunities, and other items.
Auction descriptions, bidding procedures, payment requirements, redemption conditions, and any material restrictions will be established for the applicable event.
Donated items or experiences may be subject to availability, expiration dates, scheduling requirements, third-party terms, and other disclosed limitations.
HELO will seek to describe auction items accurately based on information reasonably available to the organization.
Any warranties, guarantees, or representations concerning donated goods or services will be governed by applicable law and the specific terms of the transaction.
Raffles, Prize Drawings, and Games of Chance
HELO may consider raffles, prize drawings, or similar fundraising activities only when permitted by applicable law and after obtaining any required authorization.
Tennessee imposes specific legal requirements on charitable gaming and certain fundraising activities involving chance.
HELO will not conduct a raffle or other regulated game of chance unless it has established that the activity is lawful and all applicable eligibility, registration, approval, and operational requirements have been satisfied.
Nothing in this policy authorizes HELO to conduct gambling or charitable gaming activities prohibited by law.
Merchandise and Fundraising Products
HELO may offer branded merchandise, apparel, accessories, keepsakes, educational materials, and other approved products to support its fundraising activities.
Merchandise prices, availability, payment requirements, delivery or pickup arrangements, and applicable return or exchange terms may vary by product or event.
Purchasing merchandise does not automatically constitute a charitable contribution for federal income tax purposes.
HELO will communicate applicable purchase conditions and any material limitations before or during the transaction, as required by law.
Event Sponsorships and Vendor Participation
HELO may accept event sponsorships, vendor participation fees, donated goods and services, advertising arrangements, and other forms of event support.
Sponsorship and vendor arrangements may be governed by separate written agreements establishing payment obligations, recognition benefits, participation requirements, cancellation provisions, and other applicable terms.
Acceptance of event sponsorship or vendor participation does not imply that HELO endorses every product, service, opinion, or business practice associated with the sponsor or vendor.
HELO reserves the right to establish reasonable participation standards consistent with its mission, contractual obligations, and applicable law.
Donated Venues, Entertainment, and Event Services
HELO may accept donated or discounted event venues, catering, food, beverages, entertainment, decorations, photography, equipment, professional services, volunteer assistance, and other resources supporting approved fundraising activities.
Use of these contributions will be coordinated according to HELO's organizational needs, accepted donor restrictions, applicable agreements, and safety requirements.
HELO may provide authorized reimbursements or reasonable payments for necessary event-related services and expenses when appropriate, subject to organizational approval and applicable law.
Use of Fundraising Proceeds
Unless subject to legally enforceable donor restrictions or other binding obligations, proceeds from HELO's fundraising events, auctions, merchandise sales, and related activities may be used to support its charitable programs and reasonable organizational expenses.
Such expenses may include participant assistance, educational resources, program development, facilities, technology, insurance, administration, fundraising costs, and other lawful expenditures that advance HELO's mission.
Event revenue may be used to cover reasonable costs associated with organizing and conducting the fundraising activity.
HELO will maintain appropriate financial records of event revenue and expenses in accordance with applicable laws and organizational procedures.
Tax Treatment of Event Payments
HELO is a Tennessee nonprofit corporation currently preparing its application for federal tax-exempt recognition under Section 501(c)(3) of the Internal Revenue Code.
HELO does not guarantee that payments for event tickets, auction purchases, merchandise, sponsorship packages, or other fundraising transactions are deductible for federal income tax purposes.
Where a payment includes goods, services, admission, or other benefits, the value of those benefits may affect any potential charitable contribution treatment.
Donors and purchasers are encouraged to consult qualified tax professionals regarding their individual circumstances.
Event Safety and Participation
HELO may establish reasonable event rules concerning registration, conduct, accessibility, participant safety, supervision, photography, venue requirements, and other operational matters.
Event attendees, vendors, volunteers, and other participants are expected to comply with applicable laws, venue policies, and reasonable event instructions.
HELO may deny or discontinue participation when reasonably necessary to address safety concerns, unlawful conduct, serious disruptions, or violations of applicable event rules, subject to applicable law.
Any event-specific liability waivers, consent forms, or participation agreements will be administered separately when appropriate.

Questions regarding HELO's fundraising events, ticket purchases, merchandise, sponsorships, or other fundraising activities may be directed to:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)

11. Gift Acceptance, Refusal, and Return of Contributions
Hoover Essential Lifeskills Opportunities, Inc. (HELO) welcomes charitable contributions that support its mission of helping foster youth and other young adults facing barriers to independence develop essential life skills, educational stability, and long-term self-sufficiency.
HELO reserves the right to evaluate, accept, decline, or, when legally permissible, return contributions based on the organization's charitable purposes, operational needs, financial responsibilities, applicable laws, and organizational policies.
Authority to Accept Donations
HELO's Board of Directors and authorized organizational leadership are responsible for establishing and administering appropriate procedures for accepting charitable contributions.
HELO may accept monetary donations, tangible property, equipment, technology, supplies, professional services, volunteer assistance, donated facilities, educational opportunities, and other contributions that advance its charitable mission.
Acceptance of a contribution is subject to any applicable approval requirements, donor restrictions, contractual obligations, and organizational procedures.
HELO may require additional review or Board approval before accepting substantial, unusual, restricted, or potentially burdensome gifts.
Right to Decline Contributions
HELO may decline a proposed contribution when acceptance would be inconsistent with its charitable mission, organizational values, legal obligations, available resources, or operational capacity.
Reasons for declining a contribution may include, but are not limited to:
-
Conditions that conflict with HELO's charitable purposes or governing documents.
-
Restrictions that are unlawful, impractical, excessively burdensome, or inconsistent with approved programs.
-
Significant storage, transportation, maintenance, insurance, repair, disposal, or administrative expenses.
-
Property or equipment that is unsafe, unsuitable, damaged, or not reasonably useful to the organization.
-
Gifts that create unacceptable financial, legal, environmental, ethical, or reputational risks.
-
Contributions that could compromise HELO's independence, participant confidentiality, or charitable decision-making.
-
Gifts that could result in improper private benefit, conflicts of interest, or other legal compliance concerns.
HELO is not obligated to accept every contribution offered.
Acceptance of Noncash and In-Kind Donations
HELO may review donated goods, equipment, furniture, technology, clothing, educational supplies, food, vehicles, and other noncash contributions to determine their suitability for organizational or program use.
HELO may establish reasonable requirements regarding item condition, delivery, transportation, storage, expiration dates, safety, and acceptance procedures.
Donors should obtain confirmation before delivering large quantities of goods, oversized equipment, vehicles, or other items requiring special handling.
HELO may decline items that it cannot safely or reasonably use, store, distribute, maintain, or otherwise administer.
Real Estate, Vehicles, Securities, and Other Significant Gifts
Donations involving real estate, vehicles, securities, business interests, planned gifts, or other substantial or complex assets may require additional evaluation before acceptance.
HELO may consider ownership documentation, liens, title restrictions, environmental concerns, maintenance obligations, insurance requirements, valuation issues, transfer costs, and potential legal or financial liabilities.
HELO may seek professional legal, financial, or other qualified advice and may require Board approval before accepting such contributions.
Acceptance of a significant asset does not obligate HELO to retain or use that asset indefinitely unless a legally enforceable restriction or agreement requires otherwise.
Subject to applicable law and accepted restrictions, HELO may retain, use, transfer, or sell donated property when doing so advances its charitable purposes.
Donated Facilities, Venues, and Property Use
HELO may accept the temporary or ongoing use of donated or discounted classrooms, offices, meeting rooms, kitchens, event venues, storage facilities, and other appropriate spaces.
Such arrangements may be subject to written agreements addressing permitted activities, scheduling, access, safety, insurance, maintenance responsibilities, and other applicable conditions.
HELO may decline or discontinue the use of donated facilities when the arrangement becomes unsuitable, unsafe, impractical, or inconsistent with its organizational needs, subject to applicable agreements and law.
Donating the use of a facility does not automatically transfer ownership or grant HELO unrestricted control over the property.
Professional Services, Volunteer Assistance, and Donated Experiences
HELO may accept professional expertise, instructional services, mentorship, consulting, volunteer assistance, educational experiences, travel opportunities, retreats, and other donated services or activities that support its charitable mission.
HELO retains discretion to determine whether and how such contributions are incorporated into approved programs, subject to the provider's agreement and applicable organizational requirements.
HELO may establish qualifications, screening procedures, safety standards, scheduling requirements, and other reasonable conditions for individuals providing services or participating in program activities.
HELO may also provide authorized expense reimbursements, transportation assistance, or reasonable stipends when appropriate, subject to available resources, organizational approval, and applicable tax and employment laws.
Conditional and Restricted Gifts
HELO may accept donations subject to specific charitable purposes or conditions when those restrictions are lawful, consistent with its mission, and administratively feasible.
Before accepting a restricted or conditional gift, HELO may require written documentation identifying the donor's intentions and the organization's obligations.
Once a legally enforceable restriction has been accepted, HELO will honor that restriction unless it is properly modified or released under applicable law.
HELO may decline gifts requiring donor control over participant selection, confidential information, organizational governance, or other matters that must remain under HELO's independent charitable oversight.
Donor Influence and Organizational Independence
Acceptance of a donation does not grant a donor authority over HELO's Board of Directors, officers, staff, volunteers, participant eligibility decisions, curriculum, operations, or organizational policies.
Donors may express preferences or propose conditions, but HELO retains responsibility for determining whether those conditions are appropriate and may lawfully be accepted.
HELO will not knowingly accept contributions that require unlawful conduct, improper personal benefits, or activities inconsistent with its charitable purposes.
Return of Contributions
Once accepted, charitable contributions are generally considered final and are not automatically returnable upon a donor's request.
HELO may consider returning or correcting a contribution when appropriate, including circumstances involving processing errors, duplicate payments, unauthorized transactions, mistaken transfers, unaccepted conditional gifts, or other legitimate concerns.
The return of a contribution may be subject to donor agreements, applicable laws, payment processing requirements, and restrictions governing charitable assets.
HELO will not return or redirect legally restricted charitable funds in a manner inconsistent with applicable law.
Any approved return of donated property or funds will be documented in accordance with HELO's financial procedures.
Donor Responsibility and Gift Documentation
Donors are encouraged to contact HELO before offering substantial, unusual, restricted, or noncash contributions.
Donors are responsible for obtaining independent tax, legal, or financial advice concerning the consequences of making a contribution.
HELO generally will not determine the fair market value of donated property on behalf of donors or guarantee any particular tax treatment.
Where appropriate, HELO may request documentation necessary to establish ownership, confirm the donor's authority to transfer the gift, identify restrictions, or complete the acceptance process.
Questions Regarding Gift Acceptance
Individuals, businesses, and organizations wishing to offer donations or discuss proposed contributions may contact:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)

12. Donor Recognition, Publicity, and Use of HELO's Name and Logo
Hoover Essential Lifeskills Opportunities, Inc. (HELO) values the generosity of its donors, sponsors, volunteers, and community partners and may recognize their contributions through appropriate organizational communications and activities.
HELO is committed to expressing appreciation for community support while respecting donor preferences, protecting participant privacy, maintaining organizational independence, and preserving the integrity of its name, logo, and public identity.
Donor and Sponsor Recognition
HELO may acknowledge donors, sponsors, businesses, foundations, and community partners through its official website, social media accounts, newsletters, printed publications, event programs, signage, presentations, and other authorized communications.
Recognition may include a contributor's name, business name, logo, general description of support, sponsorship level, or other information approved for public disclosure.
HELO retains discretion over the format, placement, frequency, and duration of donor recognition, subject to any written sponsorship agreements or other legally binding commitments.
Unless expressly agreed upon in writing, a contribution does not guarantee public recognition, advertising, promotional placement, naming rights, or other specific benefits.
Anonymous Giving and Recognition Preferences
Donors may request that their names or contributions remain anonymous in public acknowledgments and recognition materials.
HELO will make reasonable efforts to honor such preferences, subject to applicable legal, financial reporting, and recordkeeping requirements.
A request for anonymity does not necessarily eliminate the need for HELO or its authorized payment providers to collect and maintain identifying information for legitimate administrative or legal purposes.
Donors may contact HELO to request changes to their public recognition preferences.
Use of Donor and Sponsor Names and Logos
HELO may request permission to display a donor's or sponsor's name, logo, trademark, or other identifying materials in connection with authorized recognition or promotional activities.
Where permission is required, HELO will seek appropriate authorization before using protected branding materials.
Sponsors and business partners are responsible for ensuring they have the authority to grant permission for the use of any names, logos, photographs, or other materials they provide.
HELO may discontinue or modify recognition when reasonably necessary, subject to applicable agreements and law.
Use of HELO's Name, Logo, and Organizational Identity
HELO's name, logo, branding, website content, and other organizational materials may not be used by outside individuals or organizations in a manner that falsely suggests authorization, sponsorship, endorsement, affiliation, or an official relationship with HELO.
Donors, sponsors, volunteers, and community partners wishing to use HELO's name, logo, or other branding in fundraising campaigns, promotional materials, merchandise, advertisements, or public announcements should obtain prior written authorization.
Any permission granted may be subject to reasonable limitations regarding purpose, presentation, duration, and appropriate use.
HELO reserves the right to request correction or discontinuation of unauthorized or misleading uses of its organizational identity and to pursue remedies available under applicable law.
Nothing in this section prohibits uses otherwise permitted by law.
Publicity, Photography, and Media Coverage
HELO may photograph, record, or document authorized fundraising events, educational activities, community gatherings, and other organizational initiatives for legitimate communications, reporting, and promotional purposes.
The collection, publication, or distribution of identifiable photographs, video recordings, personal stories, or other information will be subject to applicable laws, privacy requirements, organizational procedures, and any required permissions.
Attendance at a HELO event does not automatically constitute unrestricted consent to the commercial or promotional use of an individual's image or personal information.
HELO may establish event-specific photography notices, consent procedures, and reasonable restrictions when appropriate.
Participant Privacy and Dignity
HELO recognizes the importance of protecting the privacy, dignity, and personal experiences of the young adults it serves.
Donations, sponsorships, or volunteer participation do not grant individuals or organizations the right to photograph, interview, identify, contact, or publicize HELO participants without appropriate authorization.
HELO may share approved participant stories, testimonials, photographs, or program experiences when appropriate permissions have been obtained and disclosure is consistent with applicable privacy requirements and organizational policies.
HELO will seek to avoid public communications that unnecessarily expose sensitive personal histories, foster care experiences, health information, or other confidential participant information.
Testimonials and Statements of Support
HELO may publish testimonials, endorsements, statements of appreciation, or other expressions of support from donors, sponsors, volunteers, and community partners when appropriately authorized.
HELO may edit submitted statements for length, clarity, or formatting, provided the edits do not materially misrepresent the speaker's intended meaning.
HELO does not guarantee publication of submitted testimonials or promotional materials.
Recognition Does Not Constitute Endorsement
Public acknowledgment of a donor, sponsor, business, or community partner does not automatically constitute HELO's endorsement of that individual's or organization's products, services, political positions, religious beliefs, or other activities.
Likewise, a donation or sponsorship does not authorize a contributor to claim that HELO endorses its products, services, or organizational positions.
Any formal endorsement or promotional arrangement must be separately evaluated and authorized in accordance with applicable law and HELO's organizational policies.
Naming Opportunities and Special Recognition
HELO may consider naming opportunities, commemorative recognition, honorary acknowledgments, or other special forms of donor appreciation when consistent with its mission and organizational interests.
Such arrangements are subject to appropriate organizational review and any applicable written agreement.
A donation does not automatically establish permanent naming rights, exclusive recognition, or control over HELO facilities, programs, events, or other organizational assets.
HELO may establish conditions concerning the duration, modification, or discontinuation of special recognition, consistent with applicable law and any binding commitments.
Questions and Permission Requests
Donors, sponsors, volunteers, and community partners seeking clarification about recognition, publicity, photography, or the use of HELO's name and logo may contact:
Hoover Essential Lifeskills Opportunities, Inc. (HELO)
Email: office@helolifeskills.org
Website: www.helolifeskills.org
HELO will review requests and determine whether authorization is appropriate based on its charitable mission, organizational policies, existing agreements, and applicable legal requirements.
14. Policy Changes and Updates
Hoover Essential Lifeskills Opportunities, Inc. (HELO) recognizes that its charitable programs, fundraising activities, organizational operations, and legal obligations may evolve over time.

Authority to Amend the Policy
HELO's Board of Directors or other individuals authorized under its governing documents and organizational procedures may approve revisions to this Donation Policy.
Changes may address donation acceptance procedures, payment processing, donor communications, fundraising activities, financial administration, or other matters covered by this policy.
All revisions will be subject to applicable laws, organizational approval requirements, and existing legally binding obligations.
Effective Date of Revisions
Revisions will become effective on the date identified in the updated Donation Policy unless a different effective date is expressly stated.
HELO may publish the revised policy on its official website or otherwise make it available through appropriate organizational communications.
The effective date displayed on the policy will indicate when the current version became applicable.
Notice of Material Changes
HELO may provide additional notice of significant changes when appropriate or required by applicable law.
Notice may be provided through its website, email communications, donation platforms, or other reasonable methods.
HELO will provide any notice or obtain any consent required by applicable law or binding agreement.
Existing Donations and Donor Restrictions
Changes to this Donation Policy will not automatically alter legally enforceable donor restrictions, existing contractual obligations, or rights that cannot lawfully be modified.
Contributions previously accepted subject to binding restrictions will continue to be administered according to those restrictions unless properly modified or released under applicable law.
HELO will not use a policy revision to retroactively eliminate legally enforceable donor rights or obligations.
Changes in Federal Tax-Exempt Status
HELO is currently preparing its application for recognition of federal tax-exempt status under Section 501(c)(3) of the Internal Revenue Code.
If HELO submits its application, receives an IRS determination, or experiences another material change in its federal tax status, it may revise this policy and related donor communications to accurately reflect that development.
Any statements concerning tax deductibility will remain subject to applicable law and the effective date and terms of any IRS determination.
Review of the Current Policy
Donors, sponsors, volunteers, and other interested parties are encouraged to review the current version of HELO's Donation Policy before making contributions or entering into fundraising arrangements.
The most recently published version will generally govern future donation activities, subject to applicable law and any separate binding agreements.
